Client Reminders (Email and SMS)

Configure automated client reminders for case events using SMS and email templates in team and event settings.

MyLawyerLink can send automated reminders to clients when calendar events are created, updated, or approaching โ€” using the SMS and email templates you configure.

What you can automate

For each case event (court date, deadline, meeting, etc.), your team can attach template-driven messages for:

Trigger Purpose
On create Notify the client when the event is first scheduled
Reminder Send before the event (for example 1โ€“7 days ahead)
On date/time change Notify when the event is rescheduled
On delete Notify when an event is cancelled

Each slot can use a different SMS template and/or email template, or be left empty if you do not want that notification.

Prerequisites

  1. SMS templates โ€” create messages under Account โ†’ SMS Templates. See Creating SMS Templates.
  2. Email templates โ€” configure team email templates where your plan supports them.
  3. Client contact info โ€” phone for SMS, email for email reminders.
  4. Client consent โ€” follow your jurisdiction's rules for automated client SMS and email.

Automated client SMS and email from cron jobs run in production on Vercel, or in other environments when explicitly enabled for testing. Ask your administrator if reminders are not sending in a staging site.

Configure defaults at the team level

Many firms set default reminder templates in Team settings so new events inherit sensible SMS and email choices. Look for reminder and template fields in:

  • Account โ†’ Settings โ†’ Firm (team settings tabs)
  • Sections related to communications, reminders, or calendar defaults

Exact labels vary by team configuration; search settings for "SMS template" or "reminder."

Configure per event

When creating or editing a case event:

  1. Open the event form from the case Events section or the Events & Calendar page.
  2. Find SMS and email template fields for on-create, reminder, and change/delete slots.
  3. Select templates created in Account settings.
  4. Set reminder days before when the reminder slot should fire (for example 3 days before the event).
  5. Save the event.

Per-event settings override or supplement team defaults depending on your configuration.

Merge fields in reminders

Reminder messages use the same merge fields as other templates. Typical placeholders:

  • {{client_first_name}}, {{client_phone}}
  • {{case_title}}, {{case_number}}
  • {{event_date}}, {{event_time}}, {{event_location}}
  • {{attorney_label}}, {{attorney_phone}}

When the reminder sends, the system resolves fields from the client, case, and event tied to that reminder.

Operational tips

  1. Write a short SMS body โ€” one or two sentences with date, time, and what the client should do.
  2. Use email for detail โ€” attach instructions or links in email templates when SMS is too short.
  3. Test with an internal case โ€” create a test event on a matter you control and confirm timing and content.
  4. Review templates when courts change rules โ€” update wording when your intake or hearing process changes.
