Welcome to MyLawyerLink ("we," "our," or "us"). We are committed to protecting your privacy and ensuring the security of your personal information. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our legal practice management platform and services (collectively, the "Service").

By creating an account or using our Service, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree with our policies and practices, please do not use our Service.

2. Information We Collect

2.1 Information You Provide

We collect information that you provide directly to us, including:

  • Account Information: Username, email address, password (hashed), and timezone preferences
  • Practice Information: Practice name, business address, and other professional details
  • Client and Case Data: Client names, contact information, case details, documents, and related information you enter into the Service
  • Billing Information: Payment details processed through our third-party payment processor (Stripe)
  • Communication Data: Messages, emails, and other communications sent through the Service

2.2 Automatically Collected Information

When you use our Service, we automatically collect certain information, including:

  • Device information (browser type, operating system, device identifiers)
  • Usage data (pages visited, features used, time spent on the Service)
  • IP address and location data
  • Cookies and similar tracking technologies

2.3 Third-Party Integrations

If you integrate third-party services (such as Twilio for SMS/voice communications), we may receive information from those services in accordance with your authorization and their privacy policies.

3. How We Use Your Information

We use the information we collect to:

  • Marketing communications (you may opt out at any time)

You can manage your communication preferences in your account settings. Standard message and data rates may apply to text messages.

5. Information Sharing and Disclosure

We do not sell your personal information. We may share your information only in the following circumstances:

5.1 Service Providers

We may share information with third-party service providers who perform services on our behalf, including:

  • Payment processing (Stripe)
  • Email delivery services
  • SMS and voice communication services (Twilio)
  • Cloud hosting and infrastructure providers
  • Analytics and monitoring services
  • AI sub-processors for our Redwell assistant and attachment text extraction (Vercel AI Gateway and underlying model providers such as OpenAI) — see Section 6 "AI-Assisted Features (Redwell)" below

5.2 Legal Requirements

We may disclose your information if required by law, court order, or governmental authority, or if we believe disclosure is necessary to protect our rights, property, or safety, or that of our users or others.

5.3 Business Transfers

In the event of a merger, acquisition, or sale of assets, your information may be transferred to the acquiring entity.

6. AI-Assisted Features (Redwell)

MyLawyerLink includes an AI assistant called Redwell and other AI-assisted features (for example, extracting text from PDFs and images you attach to a chat). This section explains what data those features process, who processes it, and how long we keep it.

6.1 What We Send to AI Sub-Processors

When you interact with Redwell or use an AI-assisted feature, we may send:

  • Your chat messages and any attachments (images or PDFs) you include
  • Context we attach to help the assistant answer (for example, the current case or client you are viewing, your team, or tool results the assistant retrieved on your behalf)
  • For document drafting, your draft instructions and bounded matter context such as template merge fields, case/client details, and permissioned summaries or snippets; we do not send the full Word template binary to the AI model for prose drafting
  • System instructions that tell the assistant how to behave

6.2 Who Processes This Data

We route AI requests through the Vercel AI Gateway, which forwards them to one or more underlying model providers. Today this includes OpenAI (for example, openai/gpt-5.4-mini for most Redwell chat, openai/gpt-5.4 when you use Legal research mode (including web search via Perplexity through the gateway), and openai/gpt-4o for attachment text extraction). The list of sub-processors may change as we tune models. Your prompts and outputs are processed under the commercial terms of those vendors. We do not use your prompts or outputs to train foundation models, and we configure our integrations so that our sub-processors do not use your prompts or outputs to train their models either, consistent with their standard API terms.

6.3 Retention and Audit

We store your Redwell conversations in MyLawyerLink so you can review and continue them, and we keep an audit-log entry for each Redwell message to support supervision, compliance, and incident response. You can request deletion of a Redwell conversation the same way you can request deletion of other account data (see "Your Rights and Choices").

6.4 Accuracy and Use of Output

Redwell is AI-generated. It can be wrong or incomplete, including about legal matters. Redwell does not provide legal advice. Any output must be independently verified by a qualified human before it is relied on, filed with a court, sent to a client, or used to make a legal or billing decision. See our Terms of Service for the legal terms that apply to AI features.

6.5 Sensitive Data and Privilege

Do not paste or attach material you are not authorized to share with our AI sub-processors, including third-party protected health information (PHI), material you hold under another party's confidentiality obligation, or privileged material where sharing with a sub-processor is not permitted by the engagement or applicable rules. If your firm is subject to HIPAA, you are responsible for determining whether your intended use of AI-assisted features is consistent with your obligations and any applicable business associate agreements.

7. Data Security

We implement appropriate technical and organizational security measures to protect your information against unauthorized access, alteration, disclosure, or destruction. These measures include:

  • Encryption of data in transit and at rest
  • Secure password hashing
  • Regular security assessments and updates
  • Access controls and authentication

However, no method of transmission over the Internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

8. Data Retention

We retain your information for as long as necessary to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. When you delete your account, we will delete or anonymize your personal information, except where we are required to retain it for legal or regulatory purposes.

  • Access and update your account information
  • Request deletion of your account and personal information
  • Opt out of marketing communications
  • Request a copy of your data
  • Object to certain processing of your information
